Organise data with customisable ID formats

You can now set up custom formats for record IDs, giving you full control over how your data is structured. Choose the format that works best for your business by combining fixed text, numbers, or key record details.
Kinabase allows you to define how IDs are generated for each record. These can be:
- A sequential number:
1
,2
,3
, etc. - An abbreviation (based on a field):
ABC
,DEF
,GHI
, etc. - A combination:
ABC-1
,DEF-2
,GHI-3
, etc. - Or switched off completely

Custom IDs help you organise, find, and track records faster, saving your team valuable time and reducing errors. Instead of relying on generic system-generated IDs, you can build identifiers that reflect exactly what's important to your business.

How it works
- Open a collection and click Configure
- Under Identifiers, select Custom
- Click the pen icon to edit ID settings
- Choose from fixed text, auto-incrementing numbers, or fields like company name
- Adjust separators, formats, and field orders
Note: Once created, custom IDs won’t change - even if you edit record details later. If you need to modify IDs, you’ll have to reset them, so plan carefully if your data is already in use.
